Modernising Workplace Issue Reporting in Public Healthcare

Client Overview

A large public sector health agency manages a network of 16 healthcare service providers across a state. Each provider operates independently under a separate board, creating a complex, layered structure with multiple levels of management. Ensuring timely communication and resolution of frontline workplace concerns is vital to maintaining patient safety and organisational efficiency.

The Challenge

Nurses and frontline staff were required to fill out paper-based forms to report workplace issues. These forms had to pass through several hierarchical levels (supervisors, assistant directors, directors) before action could be taken. If unresolved, concerns were escalated to external stakeholders such as unions. This manual and fragmented process introduced several critical issues:

  • Paper forms were often misplaced, resulting in unresolved concerns.
  • There was no centralised way to track, monitor, or analyse reported issues or workload concerns.
  • The process was time-consuming, inefficient, and incurred significant costs due to printing and paper usage.

Our Solution

The agency adopted a digital solution combining an online webform and a case management platform to modernise and streamline the issue reporting process.

  1. Online Webform
  2. A mobile- and desktop-accessible webform was deployed, enabling frontline staff to report issues digitally. The form includes user-friendly features such as dropdowns, checkboxes, and file upload options, significantly reducing the time and effort required to report a concern.
  3. Case Management Integration
  4. The webform feeds directly into an integrated case management system that:
  • Automatically assigns a unique case ID to each submission for easy tracking.
  • Routes issues to the appropriate personnel based on predefined workflows.
  • Enables real-time updates, comments, and collaboration between stakeholders.
  • Provides a centralised repository for storing and analysing all reported issues, supporting trend analysis and data-driven decision-making.

The Outcome

With this digital transformation, the agency successfully:

  • Eliminated paperwork and reduced administrative overhead.
  • Increased visibility and accountability across management layers.
  • Ensured that workplace issues are addressed in a timely and traceable manner.
  • Gained actionable insights through analytics, supporting continuous operational improvement and proactive workforce management.

By moving to a streamlined digital workflow, the agency enhanced both staff engagement and organisational responsiveness, key drivers of safer and more efficient healthcare delivery.
